The problem
Why this keeps going wrong
There is a meaningful difference between a chatbot and an agent, and most of the market blurs it deliberately. A chatbot answers questions. An agent takes actions — it checks a real calendar, holds a real slot, writes to a real system, and knows when to stop and fetch a human. The first deflects work. The second completes it.
The reason most deployments disappoint is not the model. It is that the agent was built as a conversation rather than as an operation: no integration with the systems that hold the truth, no defined escalation, no testing against how customers actually speak, and no owner after launch. The result answers questions plausibly and books nothing.
We approach it the other way round. The conversation is the last thing we design. What comes first is what the agent is allowed to do, what systems it can read and write, where it must stop, and how we will know whether it is working.

Listen before designing
We go through real recordings of your calls or transcripts of your chats. Define boundaries, then build
Before conversation design we agree what the agent may do, what it must never do, and what triggers an immediate handover. Those become enforced guardrails rather than polite suggestions in a prompt. Then we build the flows and wire them into your calendar, CRM and messaging.

Try to break it — with your team
Your staff attempt to defeat it: accents, code-switching mid-sentence between English and Arabic, callers who change their mind, edge cases, deliberate confusion. Every failure becomes a fix. This phase is where a deployment is actually won or lost, and it is the one most vendors compress.
You get: A test log with every failure and its resolution, and a go/no-go recommendation.

Go live narrowly, then widen
We start where the downside is smallest — usually after-hours, where the alternative is voicemail — and expand once it has proven itself on real traffic. Transcripts are reviewed weekly at first, then monthly. Every change is driven by something that actually happened on a call.

What we measure
Agreed at kick-off, reported against at the end. If we cannot move these, the engagement did not work and we would rather both of us know that early.

- Containment rate — conversations completed without a human
- Booking or qualification conversion, compared against the pre-launch baseline
- Escalation rate and, more importantly, escalation quality
- Cost per handled conversation against the equivalent staffed cost

How is this different from the voice AI platforms we could buy directly?
Platforms give you a capable tool and leave the operation to you. Most of the difficulty is in the operation: which system holds the truth, what happens on an exception, who owns it in month four. We build on strong platforms rather than competing with them, and we do the part that determines whether it works.
How good is the Arabic, honestly?
Good enough that we run it in production for a Dubai client, including callers who switch between Arabic and English mid-sentence. It is not flawless with every dialect, which is why testing uses your actual customer recordings rather than a demo script. Ask us for a live call and judge it yourself.
What does it cost to run, not to build?
Running cost is per minute or per conversation and depends on volume and channel. We model it against your current cost per handled call during scoping, because the comparison is the only number that matters and it is the one vendors tend to skip.
What if a customer refuses to talk to it?
They ask for a person and get one. Designing for that gracefully removes most of the objection — the frustration is almost never the AI itself, it is being trapped with one.
Who owns it after you have gone?
You do. It runs in your accounts, we document the design and the flows, and we will train your team to make routine changes. We would rather be retained because we are useful than because you cannot leave.
Can we start smaller than a full build?
Yes. A single channel, out of hours only, is a common and sensible start — smaller cost, real evidence, and it makes the decision to widen an easy one.
