Grow the pipeline
Convert the demand you have already paid for
Most businesses do not have a lead problem, they have a follow-up problem. We build the capture, qualification and nurture system — with AI doing the repetitive work — so nothing you have already paid to attract goes cold.
The problem
Why this keeps going wrong
When pipeline is soft, the reflex is to spend more on generating leads. In most of the businesses we look at, that is the wrong end of the problem. The leads are arriving. They are being lost between arriving and being worked.
The losses are unglamorous and entirely fixable: an enquiry that came in on Friday evening and was seen on Monday afternoon. A WhatsApp message on a phone that belongs to someone who is on leave. A quote sent, never followed up, because the person who sent it was busy the following week. None of this is a marketing failure. It is an operations failure that gets misdiagnosed as a marketing one.
The economics are unusually favourable, which is why we like this work. You have already paid to generate the demand. Recovering a share of what currently leaks costs far less than generating the equivalent again, and it shows up in the numbers within a quarter.
You will recognise this if
- You cannot say how many enquiries you received last month, across all channels.
- Response time varies from minutes to days depending on who is on.
- Quotes go out and nobody has a system that chases them.
- You are spending on advertising and cannot attribute a customer to a channel.
- Your CRM exists but is not where the real pipeline lives.
How we do it
The engagement, week by week
No discovery phase that never ends. Every stage produces something you can hold.
-
Trace a real enquiry, end to end
We take actual enquiries from the last quarter and follow each one through every hand-off: where it arrived, who saw it, when, what happened, what did not. Then we quantify the drop-off at each stage. This is the most uncomfortable and most useful part of the engagement.
You get: A journey map with quantified leakage at every stage.
-
Capture everything in one place
Every channel — web forms, WhatsApp, phone, social, portals — lands in a single pipeline with a consistent record. Where speed matters most we put an agent on the front so nothing waits for a human to be free. You cannot manage what does not arrive in one place.
You get: A single pipeline receiving every enquiry, regardless of origin.
-
Qualify before it reaches a person
Structured qualification at the point of capture: budget, timing, fit, intent — asked conversationally rather than as an interrogation. Your team then works a shorter list of better leads, which is usually a bigger productivity gain than the automation itself.
You get: A scoring model applied at capture, with routing rules per segment.
-
Follow up relentlessly, and report honestly
Sequences that run whether or not anyone remembers: quote follow-ups, re-engagement, reminders. Then reporting on what actually converts — by channel, by offer, by follow-up step — so budget decisions stop being based on assertion.
You get: Live nurture sequences and a channel report you can act on.

How you judge us
What we measure
Agreed at kick-off, reported against at the end. If we cannot move these, the engagement did not work and we would rather both of us know that early.
- Enquiries captured, against the previous best estimate of volume
- Median time to first response, before and after
- Percentage of enquiries receiving a documented follow-up
- Enquiry-to-opportunity and opportunity-to-close conversion by channel
- Cost per acquired customer by channel, once attribution is reliable

FAQ
GTM & Lead Management: your questions
We already have a CRM. Do we need a new one?
Almost certainly not. In most cases the CRM is fine and the problem is that enquiries never reach it, or reach it without the information needed to work them. We would rather fix that than sell you a migration.
Will automated follow-up annoy our customers?
Badly written follow-up does. Well-written, relevant and easy to opt out of does not — and the alternative, being forgotten entirely, is worse for the customer than one extra message. We write the sequences in your voice and cap the frequency deliberately.
How quickly would we see anything?
Capture and response time improve within the first fortnight, because those are the mechanical fixes. Conversion improvements follow your sales cycle — for most of our clients that means visible movement inside a quarter.
What if our sales team will not adopt it?
Then it fails, which is why the design starts with what makes their day easier rather than what makes reporting easier. If a step only benefits management, it will be skipped and we will have built the wrong thing.
Can you work with our existing marketing agency?
Yes, and it usually works well. They generate the demand; we make sure it converts. The reporting we build tends to make their work look better, because it finally attributes it properly.
